Please, carefully observe the following eight steps to submit your final manuscript for publication in the
e-Engineering’2021 proceedings.

  1. Online Registration of at least one author
  2. At least one author MUST register by June 7, 2021, for his/her paper to be included in the proceedings.

    No paper will be published in the Proceedings without a previous author’s completed registration and payment.

    Publication Policy: e-Engineering’2021 expects at least one paper author to register and present his/her paper at the online conference. Papers not presented at the online conference will be removed from the conference records, including all online proceedings databases.

  3. Prepare the final version of the manuscript
  4. Carefully consider and address any reviewers suggestions when preparing the final version of your manuscript.

    Prepare the final version using the paper templates linked below:

    Tips: Be sure to use the template’s conference mode. See template documentation for details. Select Save when the File Download window appears.

    Overleaf

    Please visit Overleaf and sign in using your IEEE Account to utilize the templates and collaboration features of Overleaf.

    Please, remove all template instruction text from your conference paper before submitting it. If you fail to remove template text, your paper will not be published.

    REMEMBER:

    The final version of a paper describing finished or consolidated R&D works and indicated for oral presentation MUST HAVE, AT LEAST, 6 PAGES AND CANNOT EXCEED 8 PAGES, NO EXCEPTIONS.
    The final version of a position paper or a paper describing work-in-progress MUST HAVE, AT LEAST, 2 PAGES AND CANNOT EXCEED 4 PAGES, NO EXCEPTIONS.

  5. Include all final author names and affiliations
  6. Be sure to review your final document and include all the correct author names, citations, references, and affiliations. Search through the document and remove third-person references to your own work. Update all citations and all references with the details omitted for double-blind reviewing with the correct information. Include relevant references to funding sources and acknowledgments.

    Ensure the paper is formatted as specified in the paper template. The final paper should not contain headers, footers, or page numbers.

  7. Add the copyright notice
  8. VERY IMPORTANT:

    Before generating the PDF, add the following copyright notice to the bottom of the first page of your paper, substituting the example provided in the template

  9. Generate the PDF version of the paper for the conference proceedings
  10. Proofread your source document thoroughly to confirm that it will require no revision.

    Regardless of its initial format, the file containing the final version of the paper must be transformed in the PDF format using the IEEE PDF express web tool. PDF files generated using other tools are not acceptable.

    To generate the IEEE Xplore compatible PDF file of your paper, follow these steps:

  11. Create your IEEE PDF eXpress account by going to https://ieee-pdf-express.org/account/login
  12. First-time users should do the following:

    • Select the New Users – Click Here link.
    • Enter the following:
      • 47629X for the Conference ID
      • your e-mail address
      • a password
    • Continue to enter information as prompted.

    An Online confirmation will be displayed and an e-mail confirmation will be sent verifying your account setup.

    Previous users of PDF eXpress do not need to create a new account. Just enter 47629X for the Conference ID, and the same e-mail address and password that was used for previous conferences. Verify that your contact information is valid.

    Please note that to access the service, you need to allow the use of cookies from the PDF eXpress website.

    • Once registered as a user, upload the source file containing your reviewed paper for conversion.

    You will receive by e-mail the IEEE Xplore-compatible PDF of your paper after you have uploaded your source file. This IEEE Xplore-compatible PDF file is ready to be uploaded to EasyChair.

  13. Upload the PDF version of the paper for the conference proceedings
  14. Log in to your EasyChair account and update your paper once you receive the e-mail with your Xplore compatible PDF paper from PDF eXpress.

    Check author names and affiliations in the EasyChair database. Make sure ALL authors that appear on your final paper are assigned as authors of the paper in the EasyChair database. Make sure that all names and affiliations EXACTLY match what is on your paper.

    Update the Abstract field in EasyChair with the initial abstract portion of your paper. Click the Edit icon in the Abstract row in your manuscript view to update your abstract. Make sure that the abstract in the EasyChair database matches EXACTLY to the abstract in the paper. Please note that the abstract of the PDF review paper is limited to 200 words.

  15. IEEE Electronic Copyright Transfer of your paper
  16. By June 8, an e-mail will be sent to the authors directly by IEEE with instructions on how to access and submit their copyright forms.

    IEEE policy requires that, before publication, all authors must transfer to the IEEE, in writing, any copyright they hold for their papers.

    The IEEE is enforcing strict copyright rules. For your convenience, the copyright form is made available electronically. One of the authors must submit the IEEE Electronic Copyright Transfer of the paper.

    Note: US Government copyrights are only to be used by authors employed by the US government.

    NO PAPER WILL BE PUBLISHED WITHOUT THE SUBMITTED COPYRIGHT FORM

Make sure you successfully completed the above eight steps. Your paper will not be published if you fail to complain with one or more of those steps.
